Booking a hotel looks simple: pick a room, enter your card, done. Behind that click is a system that decides which rooms you are shown, what you pay and what happens if your plans change. Knowing how it works helps you book the right room on the right terms, especially when your stay is built around a flight.
What a hotel reservation system does
Every hotel keeps one live record of its rooms: how many of each type are free on each night, and at what price. This is held in the hotel’s property management system, the software the front desk uses for check-ins, check-outs and bills.
That same stock of rooms is offered in several places at once: the hotel’s own website, its phone line, online travel agencies, and travel agents and concierge companies. A connecting tool, often called a channel manager, keeps every outlet up to date. When a room is booked anywhere, it disappears everywhere, so the hotel does not sell the same room twice.
When your booking goes through, the system creates a reservation record with your name, dates, room type, rate and payment details, and gives you a confirmation number. That number is your proof of booking, so keep it to hand when you arrive.
Where you can book, and the difference it makes
- Directly with the hotel, by phone or on its website. You deal with the hotel itself, which can make special requests and changes easier.
- Through an online travel agency. Easy to compare prices, but changes and refunds usually go through the agency rather than the hotel.
- Through a travel agent or concierge. Someone who knows the hotels books the right one for you, handles the details and is there to sort things out if plans change.
Understand the rate before you pay
Two rooms that look the same can come with very different terms. Before you confirm, check:
- Flexible or non-refundable. Cheaper rates often cannot be cancelled or changed. Flexible rates cost more but let you cancel up to a deadline.
- What is included. Breakfast, Wi-Fi, airport transfers and parking may or may not be in the price.
- Taxes and charges. Ask whether the price already includes VAT and any service charge, so the final bill holds no surprises.
- Guaranteed or not. A booking guaranteed with a deposit or card is held for you even if you arrive late. A booking that is not guaranteed may be released if you have not arrived by a set time, which matters if your flight is delayed.
Plan your stay around your flight
Most hotels set a check-in time in the afternoon and a check-out time around midday. Flights rarely fit neatly around those hours. If you land early or leave late, ask for early check-in or late check-out when you book, and get it confirmed. Paying for the extra time is often cheaper and calmer than spending hours in a lobby.
Choosing a hotel in Port Harcourt
Port Harcourt International Airport is at Omagwa, roughly 30 kilometres north-west of the city. Road time varies a lot with the hour and the traffic, so where you stay shapes how early you need to leave for a flight.
- Stay close to your business. Choose an area near your meetings, then plan your airport transfer around your flight time.
- For a very early flight, allow generous time on the road and arrange your transfer the night before.
- Ask about power. Check that the hotel runs power around the clock, so the room stays cool and your devices charged.
- Put security first. Look for controlled access, secure parking and a 24-hour front desk, particularly if you are arriving late.
- Arrange transport in advance, so someone you trust is waiting when you land.
Before you travel: a quick checklist
- Your name is spelled exactly as on your ID
- Dates, room type and number of guests are correct
- You know the rate’s cancellation deadline and what is included
- The hotel knows your arrival time, especially if it is late
- Your airport transfer is booked
- Your confirmation number is saved on your phone
